Help desk software turns customer emails, chats and messages into organized conversations your team can assign, track and answer, so nothing gets lost in a shared inbox. Most tools also add a knowledge base where customers can find answers on their own.

We compared four popular options on real per-user prices, free plans and who each one is not right for.

Our quick picks

  • Best overall: Help Scout. A shared inbox that feels like email, with chat and a knowledge base built in.
  • Best value: Zoho Desk. Ticketing and workflows from $7 per user.
  • Best free option: HubSpot Service Hub. Free for up to 2 users, connected to HubSpot’s free CRM.
  • Best for scaling to many channels: Zendesk. The most complete platform as your support team grows.

Help Scout: Best overall

Help Scout is built for small teams that mostly support customers by email. Conversations look like normal emails to your customers, while your team gets assignments, saved replies, notes and a shared view of every conversation.

Pricing

Billed annually, Standard is $25 per user per month ($30 monthly) and includes multiple inboxes, live chat, SMS, social messaging, knowledge bases and an AI inbox assistant. Plus is $45 per user billed annually ($54 monthly) and adds advanced workflows, a customer portal and integrations like Salesforce, Jira and HubSpot. Pro is $75 per user billed annually ($90 monthly). You can try it free.

Why we like it

  • Feels like email, so there’s almost nothing to learn
  • Chat, SMS and a knowledge base on the first plan
  • A clean experience for customers

Who it’s not for

Teams that need phone support or a large call center. Help Scout focuses on email, chat and messaging.

Zoho Desk: Best value

Zoho Desk offers full ticketing at a very low price, with email, social, web forms and workflows on its entry plan. It fits especially well if you already use other Zoho apps.

Pricing

Billed annually, Express is $7 per user per month and covers email, social media, web forms, workflows and contact management. Standard is $14 per user and adds instant messaging, an answer bot, a knowledge base and customer satisfaction ratings. Professional is $23 per user and adds telephony, Zia AI and round-robin assignment. There’s a free trial.

Why we like it

  • The lowest price in this guide
  • Workflows and escalations from the first plan
  • Works well with other Zoho apps

Who it’s not for

Teams that want the simplest possible setup. Zoho Desk has many settings, and the knowledge base starts on Standard.

HubSpot Service Hub: Best free option

HubSpot Service Hub adds help desk tools to HubSpot’s CRM, so every support conversation sits next to that customer’s sales and marketing history. Its free tools are a low-risk way to start.

Pricing

The free plan covers up to 2 users with no credit card. Service Hub Starter lists at $20 per seat per month, and HubSpot was showing discounted Starter pricing from $7 per seat when we checked. Professional, which adds a full help desk and customer success tools, starts at $90 per seat with its discount ($100 list).

Why we like it

  • Free for up to 2 users
  • Support history connected to your CRM
  • Room to grow into HubSpot’s marketing and sales tools

Who it’s not for

Teams that want a full help desk without big price jumps: the most complete support features are on Professional, which costs far more than Starter.

Zendesk: Best for scaling to many channels

Zendesk is one of the best-known customer service platforms. Its Suite plans bring email, chat, messaging, voice and AI agents together in one workspace, which suits a support team that’s growing fast.

Pricing

Support Team is $19 per agent per month paid yearly and covers email ticketing, routing, automations and prebuilt dashboards. Suite Team is $55 per agent paid yearly and adds AI agents, an AI knowledge base, messaging, live chat and telephony. Suite Professional is $115 per agent paid yearly. A free trial is available.

Why we like it

  • Covers every support channel as you grow
  • Strong automations and AI agents on Suite plans
  • A large app marketplace

Who it’s not for

Very small teams that only need a shared inbox. Most of Zendesk’s best features are on Suite plans starting at $55 per agent.

How to choose the right help desk

  • List your channels. If customers mainly email you, Help Scout or Zoho Desk is enough. If they also call or chat, compare Zendesk Suite or Zoho Desk Professional.
  • Price every agent. Help desks charge per person who answers tickets. Count everyone who’ll reply, including part-timers.
  • Plan a knowledge base. A help center that answers common questions can cut your ticket volume. Check which plan includes it.
  • Test with real tickets. Forward a week of real customer emails into the trial and see how your team handles them.

How we chose

We compared each provider’s current pricing pages, plan contents and trial terms as of October 29, 2026, and judged them by what a business with 1–20 people needs. This guide is based on research, not hands-on testing. Prices change often, so confirm the current price on the provider’s site before you buy.

Frequently asked questions

What is the best free help desk software?

HubSpot Service Hub’s free tools cover up to 2 users with no credit card, and connect to HubSpot’s free CRM.

How much does help desk software cost?

Paid plans in this guide start at $7 to $25 per user per month billed annually. Expect $20 to $60 per user for chat, messaging and AI features.

Do I need a help desk or is a shared inbox enough?

If one or two people answer customer emails, a shared inbox may be enough. Once several people reply, or you need to track response times, a help desk keeps conversations from being missed or answered twice.
