How payroll software pricing works

Almost every provider charges two things: a monthly base fee and a per-person fee for each employee or contractor you pay. A low base fee can still cost more once you add people, so compare the total for your actual headcount.

  • Full service vs. self-file. Full-service plans calculate, file and pay your payroll taxes for you. Self-file plans cost less, but you handle tax filings yourself.
  • Plan upgrades. Features like time tracking or multi-state payroll often require a higher plan, which can double the cost.
  • Introductory discounts. Many providers discount the first few months. Budget for the regular price.

Which payroll provider should you choose?

Price is only part of the decision. Our guide to the best payroll software for small business explains who each provider is right for, and our Gusto vs QuickBooks Payroll comparison covers the two most common choices.
