AI tools can now draft emails and proposals, summarize long documents, analyze spreadsheets and take meeting notes for you. For a small business, that’s hours back every week. But the choice is confusing: general AI assistants, AI built into the office apps you already pay for, and specialist tools all overlap.

We compared five of the most useful AI tools for small businesses on what matters: whether there’s a free plan, the real cost per person for a business plan, whether your company data is used to train AI models, and who each one is the wrong fit for.

Our quick picks

  • Best all-around AI assistant: ChatGPT. The most widely used AI assistant, with a free plan and a business workspace from $20 per seat.
  • Best for producing finished documents: Claude. Creates documents, slides and files, with a team plan from $20 per seat.

ChatGPT: Best all-around AI assistant

ChatGPT, from OpenAI, is the AI assistant most people have already tried. It handles writing, research, data analysis and image creation, and its Business plan gives your team a shared, secure workspace that connects to tools like Google Workspace, Slack and Microsoft 365.

Pricing

The free plan is available to everyone. For individuals, Go is $8 a month and Plus is $20 a month. For teams, Business starts at 2 users, with a Standard seat at $20 per user per month billed annually ($25 monthly) and a Premium seat with 5x more usage at $100 per user per month billed annually ($125 monthly).

Why we like it

  • A capable free plan to start with
  • Business plan connects to Google Workspace, Slack, GitHub and Microsoft 365
  • Business plan includes admin controls, single sign-on and no training on your business data

Who it’s not for

Businesses that want AI inside the office apps they already use all day. If your team lives in Microsoft 365 or Google Workspace, compare Copilot or Gemini first. Note that on individual plans, your content can be used for training unless you opt out.

Claude: Best for producing finished documents

Claude, from Anthropic, is an AI assistant that can create finished work such as documents, slides and files, not just chat replies. Its Team plan adds central billing, admin controls, single sign-on and connections to tools like Microsoft 365.

Pricing

The free plan is available to everyone. Pro is $17 a month billed annually ($20 monthly), and Max starts at $100 a month for heavier use. The Team plan, for teams of 2 to 150, costs $20 per standard seat per month billed annually ($25 monthly) or $100 per premium seat billed annually ($125 monthly).

Why we like it

  • Creates documents, slides and files from a conversation
  • Team plan doesn’t train on your content by default
  • Mix standard and premium seats on the Team plan

Who it’s not for

Businesses that want AI built directly into their existing office apps rather than a separate assistant. Teams already standardized on ChatGPT may not need a second general-purpose assistant.

Microsoft 365 Copilot: Best if you run on Microsoft 365

Microsoft 365 Copilot puts AI directly inside Word, Excel, PowerPoint, Outlook and Teams, so your team can use it in the tools they already know without learning a new app.

Pricing

The Microsoft 365 Copilot Business add-on lists at $21 per user per month with annual billing, and Microsoft was offering it from $18 for the first year (offer available through December 31, 2026). It requires an eligible Microsoft 365 business plan. Bundles are also available, such as Microsoft 365 Business Standard with Copilot at $23.50 per user per month and Business Premium with Copilot at $32, both paid yearly.

Why we like it

  • AI inside Word, Excel, PowerPoint, Outlook and Teams
  • No new app for your team to learn
  • Bundles combine Microsoft 365 and Copilot in one subscription

Who it’s not for

Businesses that don’t use Microsoft 365. The add-on requires an eligible Microsoft 365 business plan and an annual commitment.

Gemini in Google Workspace: Best if you run on Google Workspace

If your business already uses Gmail, Google Docs and Google Meet, Gemini is built in. You get an AI assistant inside the tools you use every day, included in your Workspace subscription.

Pricing

Business Starter is $7 per user per month with a 1-year commitment and includes the Gemini assistant in Gmail and Gemini chat, with your company data not used to train models. Business Standard is $14 per user per month and adds Gemini in Docs, Meet and more. Google offers a 14-day free trial, and was running an introductory discount for new customers when we checked.

Why we like it

  • AI included in your Workspace plan rather than a separate add-on
  • Gemini works inside Gmail, and in Docs and Meet on Business Standard
  • Your company data isn’t used to train models

Who it’s not for

Businesses on Microsoft 365. Also note that Gemini in Docs and Meet starts on Business Standard ($14), not Starter.

Fireflies.ai: Best for meeting notes

Fireflies.ai joins your Zoom, Google Meet or Microsoft Teams calls, transcribes them and writes AI summaries, so nobody has to take notes and you can search past meetings for what was decided.

Pricing

The free plan includes unlimited transcription, limited AI summaries and 400 minutes of storage per team. Pro is $10 per seat per month billed annually ($18 monthly) and adds unlimited AI summaries, video recording, downloads and 8,000 minutes of storage per seat.

Why we like it

  • Works with Zoom, Google Meet and Microsoft Teams
  • Transcription in 100+ languages
  • Searchable meeting history and an AI assistant to ask about past calls

Who it’s not for

Businesses that rarely hold video meetings. And if you’re already paying for Copilot or Gemini, check whether their meeting features cover what you need before adding another tool.

How to choose AI tools for your business

  • Start with the apps you already use. If your team works in Microsoft 365 or Google Workspace, AI built into those apps is often the easiest win.
  • Use a business plan for business data. Business and team plans in this guide state that your company data isn’t used to train models by default. Individual plans may differ, so check the settings.
  • Start free, then pay for the people who use it most. Most tools have a free plan or trial. Buy paid seats for the people who hit the limits.
  • Pick one general assistant. ChatGPT and Claude overlap a lot. Most small teams only need one, plus specialist tools like meeting notes.

How we chose

We compared each tool’s current pricing pages, plan features, free plans and data-use statements as of October 26, 2026, and judged them by what a small business needs. Our guides are based on research, not hands-on testing, so use the free plans and trials to see which one you like before you commit. AI tools change quickly, so confirm current prices and features on each provider’s site.
